Hire Agreement

Last updated: 26 September 2026

This agreement is between All Access Solutions (“we”, “us”) and the person or company hiring equipment from us (“you”). By booking online or signing on delivery, you agree to these terms.

1. The hire period

The hire runs from the start date you choose for the number of days booked (1, 3 or 7 days). If you need the machine for longer, call us before the hire ends and we will extend it at our normal rates. Machines kept past the end date without agreement are charged at the daily rate.

2. Refundable security deposit

A refundable security deposit is taken with every booking. It is held for the length of the hire and refunded within 7 working days of the machine coming back to us, once it has been inspected.

We may take the following from the deposit, and will tell you in writing what has been taken and why:

  • Fuel, if a diesel, petrol or gas machine is not returned with the same fuel level it was delivered with (see section 3)
  • Repairs for damage beyond normal wear and tear
  • Cleaning, if the machine comes back heavily soiled, painted or covered in concrete or plaster
  • Extra hire days, if the machine is returned late without agreement
  • Lost or missing parts, keys, chargers or attachments

If the cost is more than the deposit, you agree to pay the difference within 14 days of our invoice.

3. Fuel

Diesel, petrol and gas machines are delivered with a known fuel level and must come back at the same level. If they do not, refuelling is charged at £2.50 per litre, plus the cost of any gas bottles used. This rate is higher than pump prices because it covers our time to collect fuel and refill the machine. Electric machines must be returned charged or on charge.

4. Operators

You can hire a trained operator with the machine for £200 per day. If you operate the machine yourself, anyone using it must be trained and competent for that type of equipment (for example IPAF for powered access, PASMA for towers, or an appropriate forklift licence). We may ask to see proof of training.

5. Your responsibilities

  • Use the machine only for its intended purpose and within its safe working limits
  • Make sure the ground is firm and level, and check for overhead cables and other hazards
  • Carry out the daily pre-use checks and stop using the machine if anything is wrong
  • Keep the machine secure when it is not in use
  • Tell us straight away about any accident, breakdown, damage or theft
  • Do not move the machine to another site or lend it to anyone else without our agreement

6. Insurance and damage

The machine is your responsibility from delivery until we collect it. If you add our hire insurance, it covers accidental damage to the machine, less any excess we tell you about. If you use your own insurance, it must cover hired-in plant for its full replacement value, and we will ask for a copy of the certificate before delivery.

7. Delivery and collection

We will confirm delivery and collection times with you by phone. Someone must be on site to receive the machine, and the site must be safe to unload on. If we cannot deliver or collect because of access problems on site, a wasted journey charge may apply.

8. Cancellations

You can cancel free of charge up to 48 hours before the start date and we will refund everything you have paid. Cancellations made less than 48 hours before the start date may be charged one day’s hire plus delivery if the machine has already been dispatched.

9. Breakdowns

If a machine breaks down through no fault of yours, call us and we will repair or replace it as soon as we can. You will not be charged for the days it could not be used.
